PRIVACY
POLICY.
GoldenHour is a student-led event organized in Delhi NCR, India. This policy explains how the organizing team handles information people choose to provide when they register, contact us, or use this website.
WEBSITE ACCOUNTS & PROFILES
When you create a website account, we store your email address and account details. Google login supplies identity information such as your Google account identifier, name and email; email login stores a hashed password. Profile setup stores your name, date of birth, gender selection and uploaded profile picture in our MongoDB database. You can choose “Prefer not to say” for gender. These details and the photo are accessible through your signed-in profile and to designated master admins, who can view accounts and correct account and profile information. They are not published on the website. Admin account edits record the acting admin, affected account and time. Photos are resized and their embedded metadata is removed. Essential cookies maintain your login session, and session records may include your IP address and browser information. Creating a website profile does not register you for an event or issue a ticket. Contact the organizing team using the email below to request access, correction or deletion of account or profile information.
TICKETS & VENUE CHECK-IN
Master admins can assign a ticket image, including its entry QR, to your account for a particular event. We store the ticket image, event name, any supplied date and venue, the assigned account, and the uploading admin in our MongoDB database. Your ticket is available privately in My tickets to you and master admins. Ticket images retain the full slip, with embedded image metadata removed. When the venue team scans a ticket, we record its check-in status, time and scanning admin. The scanner shows the ticket holder’s name and email to help the venue team confirm entry. Each ticket can be checked in only once for its assigned event. The admin scanner processes camera frames or a selected QR image in the browser and sends the decoded QR value for validation; camera video and scanner-selected images are not uploaded or stored by the scanner.
REGISTRATION INFORMATION
The registration form is hosted by Google Forms. A team leader submits one registration for the team. The form asks for the team name, size and track, school, and each listed member’s name, class, email, WhatsApp/phone number, gender (including a “rather not say” choice), and emergency contact; GitHub links are optional. Information is used to administer registration, coordinate teams and event participation, communicate event updates, and manage age and guardian-consent requirements. Do not enter dates of birth or upload identity documents. Google handles the form and its storage under its own service terms and privacy practices.
UNDER-18 PARTICIPANTS
Participants under 18 need parent or legal guardian consent. The registration process requests the relevant consent information, and a signed guardian consent slip is required at check-in. A guardian may contact us at the address below with a question or request about a minor's registration information.
AGE VERIFICATION
At check-in, organizers may view a school ID, Aadhaar, passport, or birth certificate solely to verify that a participant is eligible. Organizers will not copy, photograph, or store the identity document. Please do not email us a copy of an identity document.
WEBSITE ANALYTICS & COOKIES
Optional, privacy-conscious analytics run only if you allow them in the cookie banner. You can choose essential storage only. The site stores your choice so it can honor that preference; essential storage may still be used for site functionality.
RETENTION, ACCESS & DELETION
We do not publish a fixed retention period for registration responses. To request a copy of registration information, ask for a correction, or request deletion, email [email protected]. The organizing team aims to respond within 30 days. A request about a participant under 18 may be sent by their parent or legal guardian.
PENDING POLICY CONFIRMATION
[CONFIRM: data controller and authorised Google Form processors; retention periods and deletion schedule for accounts, registrations and check-in records; guardian consent and photo/video consent processes]. These operational details require organiser and legal review, including applicable obligations under India’s DPDP framework. This notice does not claim legal compliance.
